Frequently Asked Questions

Choosing and using the system

Which ERP product should we choose?

Trade ERP focuses on sales, purchasing, stock, warehousing and online ordering. Project & Production ERP focuses on projects, jobs, time, materials, production and costs. If you have both types of work, we review how they should connect.

Will the system be too complicated for our staff?

We can begin with your key workflows and configure access for each role. Training uses practical examples so staff can learn the tasks they need. The implementation plan sets out the agreed training scope.

Can we use it away from the office?

Authorised users can access the cloud system over the internet. We review devices and mobile workflows during implementation. Reliable internet access is required.

Can it be customised?

We first check whether standard features and configuration can meet your requirements. Custom development is then assessed for scope, cost, delivery time and ongoing maintenance.

AI and integrations

What if AI reads a document incorrectly?

AI prepares a draft. Your staff compare it with the original document, correct any errors and confirm it before it becomes an approved business record. AI helps reduce typing while keeping a review step.

Can Matricle connect with Xero?

Matricle supports Xero integration. We agree which records should be exchanged, account and tax mappings, and how exceptions should be reviewed before enabling the connection.

Can we keep our Shopify store or existing website?

We can assess a Shopify connection or integration with your existing website. An integrated Matricle website is also an option. Products, prices, stock, orders, payments and the direction of data exchange are confirmed in the scope.

Is an e-commerce website included free with ERP?

ERP subscription does not automatically include a free e-commerce website. Website design, ordering functionality, integration, hosting and maintenance are assessed and quoted according to your requirements.

Cloud hosting and business data

Where are the servers?

Matricle uses cloud servers located in Australia. If you have specific requirements for hosting location, backup location or data access, we review and confirm the arrangements for your service.

How is access to our information controlled?

User accounts and permissions control access to relevant functions and records. Important product and order changes can be reviewed through operation logs. Your administrator and Matricle agree appropriate roles for your team.

Are backups available?

Matricle uses a separate backup mechanism for business data. Backup scope, frequency, retention and recovery arrangements are confirmed in the agreed technical and service arrangements.

What happens if the internet or server is unavailable?

Cloud access may be interrupted. We discuss support contacts, recovery arrangements and practical fallback procedures for critical workflows as part of the service plan.

Can we migrate or export our data?

We assess imports from your current system and confirm supported records, formats and checks. If you need exports, historical records or future migration assistance, we agree available formats, scope and any assistance required.

Implementation, fees and support

How long does implementation take?

The schedule depends on scope, data readiness, integrations, custom development and staff availability. We confirm an estimated timeline after reviewing your requirements.

What do we need to prepare?

Nominate a project contact, identify key users and gather examples of your workflow. Data files, opening stock, templates and integration access are prepared according to the agreed checklist. See Getting ready.

What fees should we expect?

Your proposal sets out subscription, setup or onboarding, data work, integrations and any custom development or website charges. It also confirms GST treatment, payment terms and when subscription billing starts.

Are users unlimited?

Included user accounts, roles and any additional charges depend on your subscription and written quotation.

Who provides support?

Matricle is developed and supported by a New Zealand team. Support may use agreed phone, online communication and remote assistance channels. Support hours, urgent contact arrangements, response expectations and included services are confirmed in your service agreement.

We can review branding for documents and relevant pages. Special branding or a separately maintained version is scoped and quoted where necessary.

What happens after go-live?

We review initial use, record issues and identify additional training or agreed changes. Further improvements can be planned in phases.
